What’s Included:
* Shared Tables: Companies that want to share a table with another company will be charged an extra $600 fee for the second company to be listed on the online conference platform, event website, printed program, and exhibit floor plan. This fee does not include any additional tickets.

Early Sign-Up and Payment Bonus: Exhibit tables paid for by November 15, 2026 will receive a free 60-second pre-recorded commercial spot that will air on the Online Conference’s dedicated live stream. Full payment by November 15, 2026 is required for this promotion.

Companies can begin setting up their tables in the hall. The hall will only be available to company reps at this time.
5:30 – 6:30 pm
Kick off the fun at the Welcome Reception, tentatively scheduled at the UT-Austin Architectural Library! Join fellow vendors and attendees for a light snack and a drink, and toast to another year of gathering.
8:00 pm
The hall closes for the night. Setup will continue the next morning.
8:00 am – 2:30 pm
Setup continues in the hall. All companies should be ready to show by 2:30 pm when the hall opens.
2:30 – 4:50 pm
All eyes will be on the Exhibit Hall opening with a dedicated snack break and our community-loved Poster Session. Posters will be displayed in and around the Exhibit Hall until 4:50 pm, with plenty of drink and snack stations interspersed throughout the hall and around the posters.
5:00 – 6:00 pm
The Monday Vendor Reception kicks off – this festive, bustling, dedicated time has proven to be fruitful for companies to engage with customers, network with potential new partners, and mingle!
6:00 pm
Exhibit Hall closes for the day. Continue the fun at Battledecks or organize a dinner with your customers!
9:30 – 9:50 am
The Exhibit Hall opens with another dedicated break and a second Poster Session. Posters will be displayed in and around the Exhibit Hall until 12:10 pm, once again with plenty of drink and snack options throughout the hall and around the posters.
9:50 am – 12:10 pm
Release the t-shirts! Official ER&L t-shirts will be available for all attendees to snag in the Exhibit Hall.
12:20 pm
The Exhibit Hall closes to attendees before the lunch break. Tear-down starts and continues until 8:00 pm to give vendors flexibility to attend sessions, meet with customers, and box up materials before the end of the day if their flights home are scheduled for the evening.
8:00 pm
Tear down ends.
Programming continues on Wednesday, but no exhibit activities are on the schedule. Exhibitors are welcome to stay for Wednesday’s programming.

Are you interested in having ER&L point attendees to your exhibit table to collect your company-branded swag and start a conversation? ER&L will target traffic to the exhibit floor and identify a blended schedule of ER&L merch and vendor merch in the hall. Sign up for this sponsorship to be added to the attendee swag schedule. A description and either a photo or digital rendering of your swag item will be required to be considered for the list.
Entries are open to all exhibiting companies, and the form will close 8 weeks prior to ER&L 2027 or as soon as all hourly slots are filled.

In 2026, ER&L invested over $50K to librarians who needed financial support to attend in 2026.
Donate what you can in increments starting at $500 to fund librarian attendance.
This fund will defray registration and travel fees to support librarians with limited professional development funds. Your sponsorship dollars will enable librarians access to the ER&L conference and community. ER&L will manage all aspects of this fund — from applications to disbursement — and your company is associated with all the goodwill that enabling access to a professional peer community and conference can bring.

Reserve an opportunity for a Live Session presented in Austin. The session will be available to in-person attendees and live-streamed to the online audience.

WHAT’S INCLUDED:

Reserve a small event room ready for your focus group in Austin. The focus group event will be offered to the Austin attendees only. Your organization provides expert content and meets ideal target audience requirements. From there, ER&L will guide your event with promotion and support to reach your target audience. ER&L will manage the RSVP form for the event.
Charges for any optional food & beverage will be billed to the sponsoring company post-conference. This focus group format will not be recorded.

ER&L has had a long history of supporting remote access to our conference since our earliest meetings over 20 years ago. Promote your company as an inclusion leader and contribute to inclusive services. This sponsorship contributes to the cost of captions, sign language interpreters, and the recording of the conference.

This add-on is for exhibitors who wish to add the list of attendee email addresses to their booth order. The list will include names, organizations, job titles, and emails. It will be provided prior to the conference on February 8 and March 8, and after the final attendee list is tallied post-event. This rental is for a totl of 3 uses, 1 use with each list revision.
